2. Is it actually mobile-first, or mobile-adjacent?
If your workforce includes field staff, factory teams, or anyone who isn't at a desk all day, a web-only HRMS with a bolted-on mobile view isn't going to get used. Check whether employees can clock in via GPS or biometric integration, and whether managers can approve leave from their phone.
3. How long does setup actually take?
Ask for a real answer, not a marketing number. Can you bulk-import your existing employee list via CSV? How long until your first payroll run is realistically ready to process? A platform that takes weeks to configure means weeks of running your old process in parallel.
4. Is pricing transparent and does it match your size?
Watch for "contact us for pricing" as a default — it usually means the price scales in ways that are hard to predict upfront. Look for clear tiers based on employee count and a free trial to test before committing.
5. Does it cover the full employee lifecycle, or just one piece?
